• All bookings must be made through our website and paid in full at the time of booking.
  • A confirmation email will be sent once your booking and payment have been successfully processed.
  • Your booking is valid only for the reserved time and room. Each room has a specific capacity limit.
  • If you plan to bring additional people beyond the capacity, please contact us in advance via phone or email. Additional fees may apply.
  • The makeup area at Icon Studio Space can be reserved separately but is available exclusively to clients who have also booked a studio room.
  • Backdrop rolls can be added to any room for $25 + tax.Backdrop usage is already included in the rental fee for the Art Room
  • No refunds are provided for cancellations.
  • Studio credit will be issued for cancellations made at least 48 hours in advance.
  • No studio credit or rescheduling options are available for cancellations made less than 48 hours before the booked date.
  • Studio credit must be used, or the studio space rescheduled, within 12 weeks from the original booking date.
  • Upon arrival, all clients must complete our general liability form. The individual who booked the room is fully responsible for everyone in their party. (The client who booked the studio must complete the form.)
  • If the liability form is not signed, we cannot allow the client to use the studio.
  • Clients are solely responsible for their equipment and personal belongings during the rental period.
  • Icon Studio Space is not liable for any accidents, injuries, or loss of equipment that occur during the studio rental.
  • The person who booked the studio is fully responsible for any damages they or someone in their group caused to the studio or studio equipment during their rental time.
  • Our standard operating hours are from 8:00 AM to 8:00 PM, Monday to Sunday (7 days a week), by appointment only.
  • To schedule a studio tour, clients must call in advance to ensure someone is available to assist them. Walk-ins are not permitted.
  • Bookings outside of these hours may be arranged upon request and could incur an additional fee.
  • We respect your privacy and are committed to protecting it. Any personal information collected during the booking process will be used solely for the purpose of providing you with our services.
  • We do not share your personal information with any third parties unless required by law.
  • Once a seasonal installation is set up within the studio, it cannot be moved from its designated location. The designer carefully curates the placement to optimize lighting and positioning. A fee will apply if the installation is moved.
  • Clients are not permitted to remove any pieces from the installation. It is their responsibility to ensure the installation is left in the same condition it was found.
  • Some setups may include hanging features or fixed decor pieces, making relocation impossible.

  • The rental of our studio space includes the use of basic lighting equipment available in the specific room you’ve rented (White Room, Art Room, and Soho Room). Equipment cannot be moved between rooms. You can find a list of the equipment available in each room under the Rooms category.
  • Please handle all equipment with care and notify the on-site admin immediately if anything is damaged or malfunctioning.
  • Backdrops are available in the Art Room free of charge (included with the room booking). If you’d like to use a backdrop in any other studio space, we can arrange that with prior notice and based on availability for an additional fee of $25 + tax.
  • Photographers and clients are responsible for setting up their own equipment, including the lighting. The on-site admin cannot set up the lighting or be held responsible for the results of the photos. The admin can answer basic questions, such as how to turn equipment on or how to use the trigger.
  • Clients will be held responsible for any damage to studio equipment or property during their rental time. A $500 fine will be charged for each incident of damage.

Our pet policy varies by studio room due to space and interior limitations:

  • Iconic Room: Pets of all sizes allowed
  • White Room: Pets of all sizes allowed
  • Art Room: Pets of all sizes allowed
  • Soho Room: Pets of all sizes allowed
  • Elle Room: Small pets only

A pet fee of $50 (+HST) will apply, along with a $300 deposit, except for service animals, which are exempt from the pet fee with proper documentation. Payments must be made before the booking, and the deposit will be refunded after the studio booking is completed and the room has been checked for damage.

  • If your pet makes a mess on the studio floor, a $150 charge will apply.

If your pet makes a mess on the furniture, a $300 charge will be deducted from your $300 security deposit.

  • No outdoor shoes allowed inside the studio. Please bring clean indoor shoes or use the shoe covers we provide.

  • Keep music and noise at a reasonable level. A minimum $100 fine will be charged for noise complaints from neighbours.

  • No alcohol, drugs, smoking, or vaping allowed inside the studio.

    • Fines for violations range from $500 to $100,000.

    • Anyone under the influence will not be permitted to enter.

  • No open flames, dry ice, sparklers, or smoke machines are allowed.

  • The studio must be used for legal purposes only, such as photography or video shoots.

  • Illegal activities or anything that promotes discrimination, harassment, or violence is strictly prohibited.

  • Aggressive or disrespectful behavior is not tolerated. Please be kind to our studio admins.

  • Capacity limits must be strictly followed.

  • The person who booked the studio is fully responsible for the space during the rental period.

  • Our admin will inspect your studio room before the end of your booking.

  • Please return furniture and props to their original places and dispose of all garbage properly.

  • Damage fees range from $150 to $10,000, depending on the issue.

    • Untidy studio cleaning fee: $100

    • Broken furniture leg: $200

    • Floor damage/deep scratches: $100–$500

    • Furniture damage: $100–$500

    • Broken Equipment damage : May vary from $200-$5000
  • Underground parking is available only for bookings of 3+ hours (1 car per room).

    • Exceptions may be made only if a spot is available.

  • Studio admins cannot set up lighting, props, or equipment. Clients are responsible for their own setup.

  • Please do not arrive earlier than 20 minutes before your scheduled booking time.

  • We are not responsible for any lost or forgotten items, but we will do our best to locate them and keep them in our lost and found box for 21 days. Contact us if you think you left something behind.

If you have a studio booking for under 3 hours, there is FREE (1 hour) street parking available on St Helen’s Ave.
